Campus Desk: one platform, many departmental bots, and every answer checkable

A concept demonstration prepared in response to a University of North Carolina Greensboro request for information on an enterprise AI website chatbot. It shows the controls a university needs around a chatbot: departmental bots, cited answers, refusal when content is missing, human handoff and conversation review.

Built on public pages, with every answer linked to its source

The demo answers only from stored public web pages, and says so when it cannot.

What it does

Departmental bots, central oversight

Each department gets its own bot and knowledge. Content is isolated by default and shared only when a department switches it on, with IT oversight across all of them.

Cited answers

Every answer carries a numbered link to the official page it came from, with the fetch date, so a student can check it.

Refusal, not invention

Below a match threshold the bot says it does not know and shows the score that stopped it, instead of guessing.

Handoff and tickets

A stumped bot offers a person only when agents are online, or a support ticket. Both are labeled mock-ups in the demo.

Conversation review

An administrator log flags unanswered questions for review, filtered by department, so content owners can fix gaps.

Crisis routing

Distress and safety keywords trigger a fixed response with emergency contacts before any retrieval runs. No generated text is shown.

Who it helps

STUDENTS AND FAMILIES

Get a checkable answer

Short answers with the official source linked, or an honest “I don’t know” and a way to reach a person.

DEPARTMENTS

Own your bot

Set verbosity, choose what to share, and review what went unanswered, without waiting on a vendor.

IT SERVICES

Keep central control

One platform in place of many vendors, with isolation between departments and a single review log.

STUDENT SUPPORT

Respond safely

High-risk messages get fixed, approved text and contacts, never a generated reply.

What is real, and what is simulated

The AI in the demo is simulated: it uses keyword retrieval over 20 stored public pages and has no language model, so it can return the wrong passage, and its crisis detection can miss paraphrased wording. Live handoff, ServiceNow tickets, sign-in and admin permissions are mock-ups. Page content may be dated, and rows marked Synthetic in the admin log are invented examples.

The production approach would adapt Ask AI, the cited question-answering chatbot inside CactusComply, our tax platform, which the Arizona Department of Revenue has approved for e-file and which has been live since April 22, 2026. Ask AI has not been deployed on a university website.

See it running

Try the concept with no login: ask a question, switch departmental bots, change verbosity, or open the administrator log.
